BM 2007 11-08 LB WILLIAM T. COZBY PUBLIC LIBRARY LIBRARY BOARD MINUTES November 8, 2007 The William T. Cozby Public Library Advisory Board met in regular session on Thursday, November 8,2007 in the administrative board room at the William T. Cozby Public Library. 1. CALL TO ORDER: The meeting was called to order by Chair, Marcia Raines at 7:05 p.m. Other board members present were Meme Collins- Tabuena, Jennifer Johnson, Thomas Trahan, Nancy Maurer, Kathy Ross, Whitney Sun and Paul Chung. Staff in attendance were Library Director, Kathy Edwards, and Administrative Technician, Janet Lance. 2. APPROVAL OF MINUTES DATED October 11, 2007: Meme Collins-Tabuena moved to approve the minutes and Paul Chung seconded the motion. All were in favor and the minutes were approved. 3. CITIZENS APPEARANCES: None 4. LIBRARY DIRECTOR'S REPORT: . Workload Indicators & Year End Statistics: In October the non-resident/non- comparable cards were initiated and the 26,000 SF Valley Ranch Branch opened. Both of these items had an impact on library circulation. Overall circulation decreased 2% with a 1 % increase in book circulation. DVD circulation decreased 8% and Internet/WI usage decreased 7%. Decreases in both these areas were expected. The number attending library program increased as did volunteer hours. . Comments/Suggestions: Suggestions relating to the acquisition of new books, movies and periodicals were given to Public Services staff for evaluation and follow- up. Staff personally contacts those who leave contact information for all suggestions. Staff responded to the request regarding Christian Genre. 5. OPEN MEETINGS ACT CERTIFICATES: Reminder to all new members that they have until December 31, 2007 to complete the Open Meetings Act Training and to send a copy of the certificate to Janet Lance. 6. COPPELL 2030 UPDATE: Meme Collins- Tabuena gave a brief report her meetings for the Coppe1l2030 Process. Kathy Edwards will speak with Clay Phillips to see ifhe would be able to come to the February board meeting and discuss the overall Coppell 2030 process. 7. 501 C-3 FOUNDATION: Tom Trahan stated that the non-profit Coppell Library Foundation has been registered with the State of Texas. It is dormant while awaiting the IRS letter recognizing the Foundation and granting its 501 C3 non-profit status. Once the tax status has been approved, the library may apply for grants. 1 8. LIBRARY BOARD GOALS FOR FY 07/08: The library board goals for 07/08 are: 1. Finalize formation of the 501 C-3 Foundation. 2. Provide Board support of the two library board members who are serving on the Steering Committee for the Coppe1l2030 Process, focusing on library services and the critical need for space. 9. LIBRARY TOUR: Kathy conducted a tour of the library for library board members. 10 LIBRARY ANECDOTES: Board members and staff shared their favorite anecdotes related to the library. 11. ADJOURNMENT: Jennifer Johnson moved and Whitney Sun seconded to adjourn at 8:30 p.m. Carried. Metz Edwards, Library Director DATE: November 5,2007 SUBJECT: November Director's Report for Library Advisory Board We discussed starting at 6:30pm to have more time to tour, but there was no motion to that effect. Since we did not change the time, the meeting will start at 7:00pm and the tour will follow the meeting. We will stay till all questions are answered. For those who cannot stay, we will schedule a time for a personal tour. Please note the library monument sign that was completed last week. Weare very excited that after 12 years, the library finally has its sign. The brick matches the building. It is very attractive. Workload Indicators. In October, two events occurred which have and will continue to have impact on library circulation. The non-resident/non-comparable cards were initiated with 48 ($1920) users purchasing cards in October. The 26,000 SF Valley Ranch Branch of the Irving Public Library opened on October 6, 2007, replacing a much smaller store-front facility. The branch is 4.7 miles from the library. Overall circulation decreased 2%, with a 1 % increase in book circulation! DVD circulation (-8%) and Internet/WI (-7%) use took the largest hits which was anticipated. The Valley Ranch Branch has a large number ofInternet computers which probably accounted for a large percentage of the drop. These drops will reduce demand on two critical service areas. The number attending library programs increased as did volunteer hours. As the workload evens out, we will relook at service areas and reassess priorities. Loan Star Libraries SFY 07/08: The State approved the grant proposal to purchase a loveseat for an expanded Y A area, three display cube sets (Y A, children's and adult), a lobby display stand to accommodate large posters for library programs, and books-on-CD/MP3, large print books and Y A books. The contract has been signed and funds are pending. Open Meetings Act training: As a reminder, new board members have until December 31, 2007 to complete the Open Meetings Act training. Open Meetings Act training can be completed any place where you have access to the internet. The website is: htto://www.oa2.state.tx.us/ooinooen/o2 trainin2.shtml. At the end of the training please follow the instructions for the completion certificate and send a copy of the certificate to Janet Lance. Janet will send to the City Secretary's Office where they will be kept on file. Comments and Suggestions: 3 Suggestions relating to the acquisition of new books, movies and periodicals are given to Public Services staff for evaluation and follow-up. Appropriate items are ordered for the collection or interlibrary loan is offered for those not appropriate for the collection. Staff personally contact those who leave contact information for all suggestions. 10/19/07 - I really appreciate the service here - thanks a lot. I would like to suggest a greater Christian book collection, since the current collection is lacking books on creation vs. evolution as well as Bible commentaries and sermon collections by famous American Pastors. Thanks. Victoria Dekany. Ms. Ko emailed Ms. Dekany requesting her specific input on authors and titles. She would then research reviews and availability via our book jobbers. Update on August 16,2007 suggestion re increasing the availability of Live Homework Help and extending evening hours - we are still negotiating with the vendor, however, at this point, in order to afford the service, we will have to abide by the hours agreed to by the consortium. By using the consortium, the total price will be 15% less than going alone and setting our own hours. In any case, the final amount will be substantially more than was paid last year.
