BM 2008 05-08 LB WILLIAM T. COZBY PUBLIC LIBRARY LIBRARY BOARD MINUTES May 8, 2008 The William T. Cozby Public Library Advisory Board met in regular session on Thursday, May 8, 2008 in the Administrative Board Room at the William T. Cozby Public Library. 1. CALL TO ORDER: The meeting was called to order by Chair, Marcia Raines at 7:10p.m. Other board members present were Meme Collins-Tabuena, Jennifer Johnson, Eric Ratcliff, Kathy Ross, Nancy Tao, Nancy Maurer and Paul Chung. Staff in attendance were Library Director, Kathy Edwards, Assistant Library Director, Connie Moss, Librarian, Elizabeth Merrill and Sr. Administrative Technician, Janet Lance. 2. APPROVAL OF MINUTES FROM THE APRIL 10, 2008 REGULAR BOARD MEETING: Eric Ratliff moved to approve the minutes and Jennifer Johnson seconded the motion. All were in favor and the minutes were approved. 3. CITIZENS APPEARANCES: None 4.LIBRARY DIRECTOR’S REPORT : ? Workload Indicators: In April, circulation was up 5%, gate count and Internet/WiFi shows a 5% increase. ? The City lost Internet connectivity on Friday, May 2, 2008. Email and external access to the library catalog were restored on May 5, 2008. The Internet is down for library staff and the public as of this evening, May 8, 2008. A restore date has not been given. Board members expressed concern that redundancy was needed in support of electronic services since they were a critical library service. The following message went out on Coppell Clips. A shorter version appears on the City’s website. City's Internet Service - Due to technical issues with the City’s internet service provider, electronic services are experiencing an interruption in service. You may experience a slow response time from your home or business. Should you have any questions or need assistance please call 972 304-3658 during regular hours of operation. Library staff are checking out materials, placing holds and providing basic levels of reference services, to those who walk into the building. Programs (story times, toddler times, etc.) are ongoing as scheduled. Interlibrary loan is not available. TeleMessaging is up and running for phone renewals and review of individuals' accounts by calling 972 304 7066. Internet access, WiFi, the E-Branch, subscription databases and TexShare are not available from inside the library at this time. 1 ? Comments/Suggestions: Suggestions relating to the acquisition of new books, movies and periodicals were given to Public Services staff for evaluation and follow- up. Staff personally contacts those who leave contact information for all suggestions. Staff responded to the request regarding: expanding the building, and Elf is Great, let’s keep it. 5. YOUTH ADVISORS INTERVIEWS: Candidates for youth advisors will be interviewed on Thursday, August 7, 2008. Library board members conducting the interviews will be Tom Trahan, Jennifer Johnson with back up members, Eric Ratliff and Nancy Maurer. SUMMER READING CLUB PROGRAM Elizabeth Merrill, Librarian presented 6. : information to the board about the “Texas Reading Club Jubilee” – Summer Reading Club Program. This year the library will be offering three Summer Reading Programs: Children’s – all ages up to elementary school, YA- middle school and high school, and Adult Reading Club. The th SRC starts June 17 with the Mad Science program and ends with the closing party on August th 5. This year the library will sponsor a Young Adult Comic Book Camp, August 11-15 with students creating their own comic book. 7. COPPELL 2030 UPDATE: Meme Collins-Tabuena and Jennifer Johnson, representatives on the subcommittee Community Wellness and Enrichment, updated the library board on the goals and progress of the committee. 8.FAREWELL TO CONNIE MOSS, ASSISTANT LIBRARY DIRECTOR: Connie th Moss last day at the library will be Friday, May 9. Connie will be at the Garland Library as Coordinator for North East Texas Library System. 9. LIBRARY ANECDOTES: Connie shared an anecdote with the board members. 10. 501-C-3 FOUNDATION: Nothing new to report on the development of the application. 9. Metz Edwards, Library Director DATE: May 5, 2008 SUBJECT: May’s Director’s Report for Library Advisory Board Under normal circumstances the Board report would have been completed Friday and out to you. The City has had Internet connectivity issues since last week. We have just received access to email. We are not expecting Internet till mid or the end of this week. This means that our users cannot manage their own account or use the E-branch. Renewals are via phone calls. As the emails filter in, we are responding with: We are aware of the problem of offsite users being unable to get to the online catalog or to Telecirc. Because of the access problem we have changed due dates so that items that were due May 2 - 7 are now due on May 8th. We expect internet access to the catalog to be restored on May 7 or May 8. We are sorry for this inconvenience. Since the major reference sources are online subscriptions, we are not able to provide the usual services. Staff have done an outstanding job. So far users have understood. We will all be glad when connectivity is restored. Workload Indicators. In April, circulation was up 5%. Year-to-date, it is up 1%. Gate count also reflects a 5% increase as does the Internet/WiFi. Factoring in eliminating 10% of our users in October 1, 2007, it is amazing that circulation continues to rise. My former boss in Plano always said that library usage increased during hard times. She was very wise and anecdotally, I am seeing the same thing. May’s statistics will probably drop due to the connectivity problems as users cannot place holds or renew from home on the web. Board Interviews: Youth Advisor interviews are scheduled for August 7, 2008. When I emailed in March, Tom Trahan and Jennifer Johnson volunteered to interview which gave us the minimum needed. In years past, we have had three board members interview. If any of you would like to interview, please let me know when we meet next week. We will at least need a backup to Tom and Jennifer. The following adult member positions are up for reappointment effective October 2008: Meme Collins-Tabuena, Tom Trahan, Kathy Ross and Marcia Raines. Council interviews for adult board members are scheduled for August 28, 2008. Loan Star Libraries SFY 07/08: We are still awaiting the display cubes. Registration for TLA: The Dallas conference drew 8,415 attendees! It was very successful. 3 Summer Reading Club Program: Librarian Elizabeth Merrill will highlight the summer reading club program activities. Coppell 2030 Update and Input: Since this is the last meeting before summer recess, please bring any further input to the meeting that you wish for Meme or Jennifer to take to the 2030 process. Farewell to Connie Moss, Assistant Library Director : Connie has been here eight years this month. We will miss her but are excited that she has such a wonderful opportunity to work with the other 105 NETLS’ libaries.
