LIBRARY BOARD MINUTES
May 10, 2012
The William T. Cozby Public Library Advisory Board met in regular session on Thursday, May 10, 2012
in the board room of the William T. Cozby Public Library.
1. CALL TO ORDER: The meeting was called to order by Chair, Patricia Nicks at 7:00 p.m.
Other board members present were Wednesday Foster, Saul Friedman, Stephen Charters, Karla Tabor,
David Smith, Janet Koester, and John. Boyd. Youth Advisors Shashwat Chaturvedi and Sai Panguluri
were also present. Staff in attendance were Library Director, Vicki Chiavetta, Assistant Director, Jane
Darling and Sr. Administrative Technician, Kim McGrath.
2. APPROVAL OF MINUTES FROM THE APRIL 12, 2012 REGULAR BOARD
MEETING: Saul Friedman moved to approve the amended minutes and Wednesday Foster seconded
the motion. All were in favor and the minutes were approved.
3. CITIZENS APPEARANCES: None
4. SUMMER READING CLUB PRESENTATION: Betsy Merrill gave an overview of the
Summer Reading Club which begins June 4th & runs through July 31 St. Ellen Ko explained the Evanced
program which is being used with the Summer Reading Club and allows patrons and staff to go online
and register, keep track of reading logs, etc.
5. LIBRARY DIRECTOR'S REPORT:
• Workload Indicators: Circulation was higher than anticipated and customer visits remain
high as well. This could be a result of the marketing campaign by the library to be more
visible and accessible to the community. Reference interaction was down; however, Internet
and WiFi usage was up along with the use of the educational software computers. The library
is considering the purchase of another AWE station.
• Programs: The CozbyCon program has been a big success so far. There was a large increase
in the CozbyCon art contest participation this year with 128 entries as compared to 25 last
year. The final program for CozbyCon is May 12 which will feature FUNimation
entertainment, local artists & the announcement of the art contest winners.
Storytime days continue to be popular with a number of patrons being turned away on some
days due to limits on class size. The library is looking at options to handle increases in
attendance.
• FY 12113 Budget: The library budget requests include funding for another database. Plans
also include the purchase of Polaris software at a large discount that will enable the library to
develop a mobile App and the purchase of two tablets for use by the librarians as a roaming
reference device. The library plans to purchase 200 more sessions of tutor.com for this budget
year.
• NTLP Conference: Patricia Nicks gave a summary of the North Texas Library Partners
Conference she attended.
6. BOARD REPORT TO COUNCIL: Patricia Nicks discussed the upcoming Library Board
presentation at the June 12th City Council meeting.
7. STRATEGIC PLAN UPDATE: Vicki gave a summary of her meeting with two University of
North Texas consultants regarding plans for a library expansion.
8. PUBLIC LIBRARY ADVISORY BOARD HANDBOOK: The handbooks were handed out to
Board members and Vicki briefly went over them.
9. LIBRARY BOARD GOALS AND OBJECTIVES: Patricia Nicks went over the goals and
recommended action items for the Library Board. Discussion ensued. David Smith motioned to accept the
action items as agreed on by the Board. Stephen Charters seconded. All approved and the motion was
passed.
10. YOUTH ADVISOR'S REPORT: Sai Panguluri suggested having cards or flyers of the plans
for a library expansion to hand out to library patrons when it becomes feasible to do so.
11. 501 (c) 3 FOUNDATION/FRIENDS GROUP: Vicki gave information on the previous Coppell
Library Friend's Group. Discussion followed. Karla Tabor motioned to reactivate/start a Friend's Group.
Saul Friedman seconded the motion. All were in favor and the motion was passed. Patricia Nicks
suggested forming a committee to initiate a Friend's Group. Stephen Charters, David Smith and Karla
Tabor volunteered to serve on the committee.
12. ADJOURNMENT: Chair, Patricia Nicks adjourned the meeting at 8:34 p.m.
