LIBRARY BOARD MINUTES
March 21, 2013
The William T. Cozby Public Library Advisory Board met in regular session on Thursday,
March 21, 2013 in the board room of the William T. Cozby Public Library.
1. CALL TO ORDER: The meeting was called to order by Chair Patricia Nicks at 7:00
p.m. Other board members present were Thomas Dwyer, Karla Tabor, Stephen Charters, Janet
Koester, Saul Friedman, and Emily Nance. Youth Advisors Trinity Sullivan and Shashwat
Chaturvedi were also present. Staff in attendance were Library Director, Vicki Chiavetta
Assistant Director, Jane Darling and Sr. Administrative Technician, Kim McGrath.
2. APPROVAL OF MINUTES FROM THE FEBRUARY 14, 2013 REGULAR
BOARD MEETING: Saul Friedman moved to approve the minutes and Stephen Charters
seconded the motion. All were in favor and the minutes were approved.
3. CITIZENS APPEARANCES: None
4. LIBRARY DIRECTOR'S REPORT:
Workload Indicators: All digital usage was up including eBooks and WiFi.
Circulation continued to drop which could be partially a result of the non-resident fee.
There was an increase in new cardholders possibly due to a new program instituted by
the library of including library cards in the welcome packets given to new Coppell
residents. The card is activated when the resident comes to the library with a photo
ID.
• Programs: The library has had the Between the Lines program for teens going on
this month. The Peculiar Photo Contest recently concluded and the judging for the
writing contest ends on March 27. Staff is also busy planning for Summer Reading
Club.
Staffing: Vicki went over the changes in the library staffing. One part-time librarian
is now full-time and a library technician has been promoted to librarian. The part-time
library pages will become part-time library clerks which will give more flexibility on
the circulation desk. The library will now have eleven full and part-time clerks and all
will share shelving duties.
• Budget: Budget requests have been submitted for the following- a new conceptual
design for the library, a 5% increase in the materials budget, a new check-in station, a
remote location kiosk service, fax capability for the public printer and a new AWE
station. Discussion followed.
• Capital Improvements Steering Committee: The library has submitted
documentation requested by the CMO that will be presented to the Sales Tax
Reauthorization Committee. The committee's first meeting is April 6th
• Council Presentations: At the March 26th Council meeting, the library will present
the Strategic Plan during work session. Vicki will ask for adoption of the Strategic
Plan 2013-2015 at the regular session. There will also be a presentation of the
Achievement of Excellence in Libraries award.
5. YOUTH ADVISOR'S REPORT: Trinity Sullivan suggested the library set up booths
at community events to promote reading among children, teens and adults. She shared
information regarding "Pottermore", a website devoted to Harry Potter. Shashwat Chaturvedi
gave an update on the book exchange program at Coppell High School. They received their first
donations of books this week and will begin loaning them out next year. Karla suggested
recruiting NHS volunteers to help organize the books.
11. DISCUSSION OF FY12/13 LIBRARY BOARD GOALS AND OBJECTIVES: The
Board discussed ways to achieve their goals for this year. Jane spoke about the Texas Library
Association (TLA) Convention in Fort Worth as being a good opportunity to promote the
Coppell Library through volunteering to work during the event. Vicki suggested that the Board
could act as a resource for development of a creative learning lab by making contacts in the
community with people who can help with instruction, etc. Pat Nicks spoke about the library's
participation in Earthfest on April 6th and the weekly Farmer's Market.
12. 501(c) 3 FOUNDATION/FRIENDS GROUP: Karla Tabor gave a brief update on the
Friends Group.
14. ADJOURNMENT: Chair Patricia Nicks adjourned the meeting at 8:11 p.m.
