BM 2013-10-13 LBWILLIAM T. COZBY PUBLIC LIBRARY LIBRARY BOARD MINUTES October 10, 2013 The William T. Cozby Public Library Advisory Board met in regular session on Thursday, October 10, 2013 in the board room of the William T. Cozby Public Library. 1. CALL TO ORDER: The meeting was called to order by Co -Chair, Wednesday Foster at 7:02 p.m. Other board members present were Pat Nicks, Saul Friedman, Stephen Charters, Karla Tabor, Thomas Dwyer, Janet Koester, Emily Nance and Adrienne Morton. Youth Advisors Shashwat Chaturvedi and Trinity Sullivan were also present. Staff in attendance were Library Director, Vicki Chiavetta and Sr. Administrative Technician, Kim McGrath. 2. APPROVAL OF MINUTES FROM THE SEPTEMBER 12, 2013 REGULAR BOARD MEETING: Saul Friedman moved to approve the minutes and Karla Tabor seconded the motion. All were in favor and the minutes were approved. 3. CITIZENS APPEARANCES: None 4. LIBRARY DIRECTOR'S REPORT: Vicki Chiavetta spoke about the increase of unattended children in the library after school lets out in the afternoon. Some children are not old enough to be left alone and the library will continue to monitor the situation to make sure this doesn't happen on a regular basis and that the groups of children who do come to the library after school are not a disruption to the other patrons. Workload Indicators: End of year statistics showed that book circulation has actually increased. Overall circulation was down due to a decrease in DVD checkouts. Digital usage remains heavy with WiFi, AWE stations and the mobile PAC statistics continuing to rise. Program attendance was up even though there were fewer programs held this year. Summer Reading Program attendance was very high. Library staff has been busy setting goals for the Strategic Plan, meeting with architects and reviewing library policies. Programs: A series of Coppell Reads programs which tie in with the book, Animal, Vegetable, Miracle will be featured during the month of October. Say Cheese, about the process of cheese making, was held last week. Karla Tabor commented on the book, Animal, Vegetable, Miracle and a brief discussion followed. A new program has started at the library called MESS (Math, Engineering and Science on Saturday) which is designed to tie in with the STEM program. Tracie Williams and Sarah Silverthorne are developing the program. • Request for Qualifications status: An architect has been selected. Vicki discussed the process of getting a recommendation ready for Council by October 22"a. She would like to organize focus groups after the Council meeting. Stephen Charters discussed the sales tax reauthorization election. 5. POLICY REVIEW: Vicki made the Board aware of several library policy changes. There were no objections raised by the Board. 6. FIVE YEAR BUDGET PLAN: Vicki reviewed the budget plan and explained the budget process. 7. YOUTH ADVISOR'S REPORT: Trinity Sullivan congratulated Shashwat Chaturvedi on his perfect ACT score and National Merit scholarship. She shared ideas for encouraging teens to read more books including forming a book club and promoting books that tie in with movies. She also suggested having math books that can be downloaded. Shashwat Chaturvedi asked about the library providing seminars on how to analyze literature. Adrienne Morton suggested giving extra credit to students to encourage them to attend and Stephen Charters suggested using retired teachers to give the classes. Shashwat said another possibility would be to let students help teach in order to receive volunteer hours. Shashwat asked about including video games in the library collection. Vicki spoke about the new Cozby Gainers program and including in-house video games in the program. Karla Tabor asked about the meeting between library staff and the principal of Coppell High School. Vicki responded that the main discussion was about how the library could help support the school in the use of the new iPads and Apps that the school has provided students with this year. Pat Nicks asked about the Youth Advisory interviews. 8. FRIENDS OF THE COPPELL PUBLIC LIBRARY REPORT: Karla Tabor read the Vision and Mission Statement. She said the group has hired Texas Book Consignment to sell donated and withdrawn books; fifty percent of the proceeds will go to the Friends Group. She called about unclaimed money that belongs to the Friends Group and was told it will be approximately six months before the money is refunded from the state. Emily Nance has filled out paperwork to link the Tom Thumb Rewards card to the Friends Group. 9. LIBRARY BOARD GOALS AND OBJECTIVES: Oakfest was discussed. 12.
