BM 2013-09-19 KCB Keep Coppell Beautiful Minutes of Meeting September 19, 2013 Mission To involve individuals and businesses throughout the community to promote education and initiatives that encourages waste reduction, liter prevention, beautification and environmental sustainability. The Keep Coppell Beautiful Board met on September 19, 2013 at 7:00p.m., in the Conference Room at the Coppell Service Center located, 816 S. Coppell Rd. Coppell, TX 75019. The following members were present: Shawn Thompson, Chair, Richard Kelley, Vice-Chair, Brandi Todd, Laura Burnett, Noel Schaefers, Tabitha Wilson, Carmen Price, Vin Merrill. Student Advisors: Annie Friedman, and Pooja Marella. City Liaison Jen Ferguson, Community Programs Coordinator. Item 1: Call to Order Shawn Thompson called the meeting to order at 7:05 p.m. Item 2: Consider Approval of Minutes for June 20, 2013 Motion was made and carried to approve the June 20, 2013 minutes. Item 3: Citizens’ Forum Arnau Saxena, youth advisor applicant Sonja Feaster, Girl Scout Troop 8494 Deanna Feaster, Girl Scout Troop 8494 Erin Jordan, Girl Scout Troop 8494 Lisa Jordan, Girl Scout Troop 8494 Jeff Jordan, Girl Scout Troop 8494 Joan Michael Jordan, Girl Scout Troop 8494 Rachel Kass, Girl Scout Troop 8494 Maggie Lucas, KCB Board applicant Item 4: Report from Girl Scout Troop 8494 Members of Girl Scout Troop 8494 presented their Silver Award project to the Board. Each of the three students, Sonja Feaster, Erin Jordan, and Rachel Kass, chose a City of Coppell residential recycling opportunity and created informational and sustainable videos educating viewers on proper recycling procedures. Erin Jordan reported the project must be sustainable and benefit the community over an extended period of time. The project required the scouts to work as a team, each contributing 50 hours of service. Erin presented the Board with her video on Residential Cart Recycling. Sonja Feaster reported the scouts strived to create projects focused on meeting the needs of the community and helping Coppell residents. The project taught the girls leadership, how to work as a group and balance friendships, while still working professionally. Sonja presented the board with her video on Yard Trimmings Recycling. Rachel Kass reported the next Girl Scout award to be earned with the Gold Award. The award is an individual project and requires 80 hours of service. Rachel presented the Board with her video on At-Your- Door Household Hazardous Waste recycling. Staff liaison, Jen Ferguson, guided the youth during the preparation and implementation of the video project. Jen reported the videos are on the City of Coppell website, City of Coppell youtube.com page, CiTV, and posted to the City of Coppell Facebook and Keep Coppell Beautiful Facebook pages. Item 5: Board Discussed Strategic Plan- The Board reviewed the 2013 goals set in the Strategic Plan and the accomplishments thus far to achieve the goals. The Board moved and passed the motion to create guidance books of KCB programs in order to maintain a sustainable Board. Noel Schaefers will create a rough draft of procedures for annual programs and events. The Board discussed the importance of placing priority on future outreach through booths at Coppell events such as Oakfest and the Coppell Farmers Market. Booths are well received and facilitate personal engagement with residents. The Board discussed focusing each event on one environmental topic, such as Composting or the At-Your-Door HHW service. The Board discussed additional ways to educate the public such as small HHW flyers. Item 6: Discussion regarding outreach activities and booth feedback. The Board evaluated spring and summer outreach activities in order to enhance and elevate the success of fall activities. The Board discussed the importance of placing priority on future outreach through booths at Coppell events such as Oakfest and the Coppell Farmers Market. Booths are well received and facilitate personal engagement with residents. The Board discussed focusing each event on one environmental topic, such as Composting or the At-Your-Door HHW service. The Board discussed additional ways to educate the public such as small HHW flyers. Item 7: Discussion regarding upcoming, outreach, including Oakfest and social media. The Board will host the annual Wildflower Seeding and participate in Oakfest by education citizens on composting techniques, as well as other outreach efforts that support the mission. These events will take place on October 19. The Board discussed ways to increase the number of “likes” to the Keep Coppell Beautiful page. The Board will make this a priority at the Oakfest booth. The Board discussed the possibility of creating Twitter, Instagram, and Pintrest accounts. Item 8: Discussion regarding creation of committees, including volunteer ambassador committee. The Board moved and passed the motion to create a Volunteer Ambassador subcommittee to educate volunteers on KCB’s mission, programs, and activities to create a stronger, educated volunteer base. Brandi Todd and Richard Kelley will serve on the subcommittee. The Volunteer Ambassador subcommittee will train volunteers to assist in both organized and individual outreach efforts. Item 9: Discussion regarding Report to Council Keep Coppell Beautiful will present the semi-annual report to City Council September 24, 2013. The Board discussed topics to be covered in the semi-annual Report- to-Council, as related to the Strategic Plan and Coppell 2030. The Report will cover the economic value of volunteer time to the City and residents. A PowerPoint presentation will be presented in conjunction with the report. Item 10: Discussion of Adopt-a-Location program The Board scheduled a quarterly pickup for the KCB AAL September th 28 10 am. Item 11: Community Programs Report 1)Recycling Carts – “Make Your Cart Count” Goals are 65% Participation Rate (PR) & 20% Diversion Rate – June JulyAug 2013 YTD 75% PR 80% PR N/A 65% PR 17% DR 16% DR N/A 17% DR 2)Coppell Farmers Market – CFM report to Council Sept 24. Hard 8 will be the market Sept 28 for the Market to Kitchen Chef Series. Food Day for Kids Oct 19. Food Day for Kids will be held on October 22nd, promoting healthy food for healthy families. The event will focus on teaching children to make their own healthy food choices. 3)CCG Education – Excellent turnout and presentation for Farm Girls Organic Veg Gardening class Sept 7 held at the Coppell Sr Center. Over 120 participants in the class with over 40% from outside of Coppell. Children’s organic gardening class met max registration (15 participants) 3 weeks early and had a waiting list. Working on 2014 schedule and booking speakers. Need additional committee members. 4)CCG – Share the Harvest pounds to Metrocrest: July 1837 lbs, Aug 1417 lbs. YTD 7,453 lbs.
