LIBRARY BOARD MINUTES
March 19, 2015
The William T. Cozby Public Library Advisory Board met in regular session on Thursday, March 19th,
2015 in the Board Room of the William T. Cozby Public Library.
1. CALL TO ORDER: The meeting was called to order by Chairman, Wednesday Foster at 7:05
p.m. Other board members present were Thomas Dwyer, Pat Nicks, Stephen Charters, Janet Koester,
Adrienne Morton and Karla Tabor. Youth Advisor Nicole Crumpler was also present. Staff in attendance
were Library Director, Vicki Chiavetta, Assistant Library Director, Jane Darling and Sr. Administrative
Technician, Kim McGrath.
2. APPROVAL OF MINUTES FROM THE FEBRUARY 12th, 2015 REGULAR BOARD
MEETING: Thomas Dwyer moved to approve the minutes and Pat Nicks seconded the motion. All
were in favor and the minutes were approved.
3. CITIZEN'S APPEARANCES: None
4. LIBRARY DIRECTOR'S REPORT:
• Workload Indicators: While circulation remained about the same, patron visits were
down. WiFi usage was also down.
Staff teams have been put together to help with the library move. They have been
organized into Technology, Marketing, Collection, and Programs. Brochures will be
available soon with information on when the library will be closed, a list of alternate
meeting/study spaces and information regarding the actual move. Karla asked about
keeping track of the statistics during the renovation. Vicki responded that most of the
statistics are available online. Jane is working on a timeline using information provided
by the teams.
• Programs: Festival of Nations has tentatively been rescheduled for April I I'I'. The
Between the Lines Teen Lock -In was held on March 71. The group is also collecting
donations for The Family Place. The Amazing Lego Race was a big success. Read to
Rover is scheduled for March 28'x'.
Pat Nicks asked about the South hiving Library. Vicki spoke about the tour she and
several staff members had taken.
5. REPORT TO COUNCIL: Wednesday Foster encouraged Board members to attend the City
Council meeting on April 28`i'
6. FY15/16 BUDGET: Vicki reported that staff is busy working on next year's budget. Plans are to
include funding for Staff Development Day and the Strategic Plan. The budget process is slightly
different than in previous years. Enhancement requests are being pre -approved (or not) to go into the
regular budget request.
7. LIBRARY EXPANSION UPDATE: Vicki said the staff project teams give weekly reports
on their progress so that all library employees are kept up to date. The design phase of the site plan was
approved at the Planning and Zoning meeting on March 19th. An RFP for moving was submitted and is
due on March 26th. Plans are for the library to move in August. The construction at the Fire Admin.
building is progressing as planned. Karla asked about future plans for the building after the library has
moved out and Vicki said they are working on a proposal.
8. YOUTH ADVISOR'S UPDATE: Nicole Crumpler said the League of Extraordinary Teens is
working on plans for CozbyCon and a candy making workshop.
9. FRIENDS OF THE COPPELL LIBRARY REPORT: Karla Tabor reported that the Friends
Group has decided to make their monthly meetings open to the public in order to encourage more people
to get involved. The Friends group plans to participate in Earthfest in April. A book sale is planned for
May 16th. During June and July, they will concentrate on supporting the Summer Reading Program.
Karla showed the earbuds that the Friends Group is selling. They are sponsoring science kits which are
being assembled by Texas Academy of Math and Science students. A demonstration of the kits will be
given by the students on April 25th. These will be available for check-out and are geared to elementary
age students. Stephen Charters spoke about plans for National Library Week which is April 12' — 18'h
9. LIBRARY BOARD GOALS AND OBJECTIVES: The Board agreed that the goals and
objectives are on track for the year.
ADJOURNMENT: Chairman, Wednesday Foster adjourned the meeting at 7:59 p.m.
