BM 2017-05-11 LBCOZBY LIBRARY AND COMMUNITY COMMONS LIBRARY BOARD MINUTES May 11, 2017 The Cozby Library and Community Commons Advisory Board met in regular session on Thursday, May 11, 2017 in the conference room of the library. 1. CALL TO ORDER: The meeting was called to order by Chairman Janet Koester at 7:00 p.m. Other board members present were Emily Nance, Pat Nicks, Jan Lorrain, Adrienne Morton, Mahesh Guduru, Madeleine White, Wednesday Foster and Youth Advisor Priya Marella. Staff in attendance were Library Director Vicki Chiavetta, Assistant Director Dennis Quinn, Librarian Betsy Merrill and Sr. Administrative Technician Kim McGrath. 2. APPROVAL OF MINUTES FROM THE APRIL 13TH BOARD MEETING: Pat Nicks moved to approve the minutes and Emily Nance seconded the motion. All were in favor and the minutes were approved. 3. CITIZENS' APPEARANCES: None 4. SUMMER READING PROGRAM PRESENTATION: Betsy Merrill spoke about the 2017 Summer Reading program which starts June 3`d LIBRARY DIRECTOR'S REPORT: • Vicki talked about the summer volunteen program and the Texas Library Association conference in San Antonio that several staff members attended in April. Assistant Director Dennis Quinn gave an update regarding several legislative items which could affect libraries. • Workload Indicators: Statistics are continuing to increase. WiFi has seen a large amount of usage and the IS Department has increased points by 250 to ensure patrons are able to connect. • Programs: CozbyCon is May 13`h. The art contest held in conjunction with the event has been in progress and entries are displayed in the lobby. The Teen Volunteer Fair is May 23`d. 6. LIBRARY BOARD BYLAWS UPDATE: The changes made to the bylaws were approved by the City Council. 7. 3M INTERLOCAL AGREEMENT: Vicki updated the Board on an interlocal agreement approved by Council which allows the library to share eBooks with eleven local libraries through a service offered by Bibliotheca. The service will provide about 20,000 books to library patrons once it is launched. 8. FY 17/18 BUDGET REQUESTS: Budget has been submitted but will not be approved until September. Enhancement requests were made for a marketing coordinator to help publicize the library along with technology equipment for the Business Center. There is a budget review on Monday. 9. STRATEGIC PLAN PROGRESS: Vicki spoke about the Community Partnering committee. They have partnered with community members to have ESL classes and social security classes at the library. The Lions Club has done vision screening for young children and donated games which are now part of the library collection. The library held more interactive events- an art contest, origami in the lobby and guessing games at booths. The Cultural Committee had a table at Concert in the Park to encourage participation. More literacy backpacks and TAMS boxes were provided by the Friends Group. The adult volunteer program is underway. A committee has been formed to find a way to provide residents with a single portal on the city's website to locate a meeting room space that best fits their needs. 10. YOUTH ADVISOR'S REPORT: Priya Marella spoke about having library updates announced at school. 11. FRIENDS OF THE COPPELL LIBRARY REPORT: Steve Charters spoke about goals for the Friends Group. They include increasing membership and participation in events and forming committees to keep members engaged. The group plans to have a table at CozbyCon. Preparations will begin for North Texas Giving Day next month. 12. LIBRARY BOARD GOALS AND OBJECTIVES: No discussion.
