BM 2017-11-09 LBCOZBY LIBRARY AND COMMUNITY COMMONS LIBRARY BOARD MINUTES November 9, 2017 The Cozby Library and Community Commons Advisory Board met in regular session on Thursday, November 9, 2017 in the conference room of the library. 1. CALL TO ORDER: The meeting was called to order by Chairman Janet Koester at 7:01 p.m. Other board members present were Emily Nance, Pat Nicks, Wednesday Foster, Adrienne Morton, Mahesh Guduru, Jan Lorrain and Youth Advisors Priya Marella and Rohan Kommineni. Staff in attendance were Library Director Vicki Chiavetta, Assistant Director Dennis Quinn and Sr. Administrative Technician Kim McGrath. 2. APPROVAL OF MINUTES FROM THE OCTOBER REGULAR BOARD MEETING: Mahesh Guduru moved to approve the minutes and Adrienne Morton seconded the motion. All were in favor and the minutes were approved. 3. CITIZEN'S APPEARANCES: None 4. LIBRARY DIRECTOR'S REPORT: • Workload Indicators: Vicki reminded Board members there would be no meeting in December. A Boards and Commissions reception is scheduled for December 121h. The library had a table at the Kaleidoscope event which saw a large number of attendees. Program attendance was strong in October. Traffic coming into the library and meeting room usage was heavy. Wifi and internet sessions continued to grow. Vicki explained the numbers in the "items added" category on the statistics sheet were skewed the last four months of FYI 6/17 due to OCLC importation of items which gave an inflated number. Those items are to be taken out in future so the column shows only physical items added to the collection. • Programs: The Indic Author Fair had a number of authors take part and 89 people attended the event. Diwali Family Fun Night had 250 people in attendance and Halloween Family Fun Night had over 200 in attendance. 5. ALLIES IN COMMUNITY UPDATE: Vicki talked about the surveys pertaining to the Allies in Community. Surveys were taken at the Kaleidoscope event and online. The City received over 500 responses. A group will be put together made up of citizens and city staff. 6. STAFFING: Librarian Lilia Gans, who did marketing for the library, has moved to the Parks and Recreation Department, Molly Walther will do the marketing job until a new person is hired. The part- time marketing intern job has been reposted. The library is considering the consolidation of the two open part-time clerk positions into one full-time position. 7. STRATEGIC PLAN PROGRESS: The trellis project for the front of the building has been approved by the CRDC. Two flagpoles are scheduled to be installed in the front of the building. In October, the library partnered with a group to do Artistic Afternoons. They also partnered with local authors for the Indie Author Fair. Diwali Family Fun Night was held to promote cultural diversity. The library has done a large amount of marketing for volunteers to help with the Friends Book Sale in November and with the newspaper digitalization project. Assistant Director Dennis Quinn gave an update on funding issues pertaining to libraries. For professional development, Vicki and Dennis attended a workshop on collecting, analyzing and using data to enhance the library's impact. Educational programs in October included Medicare and You and Personal Situational Awareness. 8. YOUTH ADVISOR'S REPORT: Priya suggested having high school students tutor younger children. Rohan suggested a donation station to encourage teens to donate books that could be used for book giveaways, etc. 9. FRIENDS OF COPPELL LIBRARY REPORT: Emily Nance said the Friends had a table at the Farmer's Market which featured pumpkin painting and was very popular. The book sale is scheduled for November 18`h and 19`h. 10. LIBRARY BOARD GOALS AND OBJECTIVES: Vicki thanked the Board members for their efforts in meeting the goals and objectives and their continued support of the library.
