BM 2018-03-08 LBCOZBY LIBRARY AND COMMUNITY COMMONS LIBRARY BOARD MINUTES March 8, 2018 The Cozby Library and Community Commons Advisory Board met in regular session on Thursday, March 8, 2018 in the conference room of the library. I . CALL TO ORDER: The meeting was called to order by Chairman Adrienne Morton at 7:02 p.m. Other board members present were Janet Koester, Jan Lorrain, Sherry Carr -Smith, Frank Gasparro, Thomas Hargrove and Youth Advisors Priya Marella and Tharani Muthkumar. Staff in attendance were Library Director Vicki Chiavetta, Assistant Director Dennis Quinn and Sr. Administrative Technician Kim McGrath, 2. APPROVAL OF MINUTES FROM THE FEBRUARY 8TH REGULAR BOARD MEETING: Jan Lorrain moved to approve the minutes and Janet Koester seconded the motion. All were in favor and the minutes were approved. 3. CITIZEN'S APPEARANCES: Jonathan Noronha 4. LIBRARY DIRECTOR'S REPORT: • Workload Indicators: Vicki Chiavetta showed the new spring program guide. Staff has begun working on this year's Summer Reading Program. Vicki went over the statistics for April. Book circulation was down slightly while audio materials showed an increase. New patron numbers were down by a small percentage. Last month saw increases in Wifi and computer usage. Two new people have been hired for library positions. Morgan Griffin is the new teen librarian and Johnathon Newman is the library's marketing intern. The second librarian position has been closed. Interviews have been completed for two library clerk positions. • Programs: The Chinese New Year program had over 500 people in attendance. The Coppell Chorale had 80 in attendance. Solar Cars, a Coppell Reads program, had 24 participants. Coming up in March are Tech Tutorials (a six-week class for seniors), Spring Break Hogwarts and Creating a Community for Diabetes (a community partnership program). • TSLAC Annual Report: Vicki and Dennis are working on the annual report to the Texas State Library and Archives Commission. This is necessary in order to maintain accreditation with TSLAC. • TMLDA Award: The library received the Texas Municipal Library Directors Association Excellence in Libraries Award for the 13" year in a row. • Legislative Update: Dennis Quinn gave an update on legislative issues at the national level which are impacting libraries. 5. POLICY REVIEW: Vicki went over the changes to the Collection Development policy. Frank Gasparro moved to approve the changes, Jan Lorrain seconded and the motion carried. 6. LIBRARY REPORT TO COUNCIL: Adrienne asked for suggestions for the report to Council. It was suggested to balance statistics with stories about the library. Discussion ensued regarding the Business Center and ways to attract more businesses. It was suggested that the presentation emphasize the different groups who use the rooms such as HOA's, scouting groups, Coppell Women's Club and various sports associations. Spring Break activities and Summer Reading Program were other talking points. 7. YOUTH ADVISOR'S REPORT: Tharani Muthukmar suggested promoting library usage and tutoring at exam time and using KCBY TV and The Sidekick to advertise library activities. Priya suggested creating videos to encourage use of the library. Tharani talked about the school newsletter. 8. FRIENDS OF THE COPPELL LIBRARY REPORT: Steve Charters, President of the Friends group, gave the report. The Friends are sponsoring author visits by Jennifer Mathieu and Shelly Brown. They will have a table at the Adult Volunteer Fair, at the Farmer's Market during Earthfest, and at CozbyCon. A membership drive is currently taking place. Frank Gasparro spoke about the Senior Center tour of the library. LIBRARY BOARD GOALS AND OBJECTIVES: No discussion.
