LIBRARY BOARD MINUTES
May 10, 2018
The Cozby Library and Community Commons Advisory Board met in regular session on Thursday, May
10, 2018 in the Conference Room of the library.
1. CALL TO ORDER: The meeting was called to order by Chairman Adrienne Morton at 7:01
p.m. Other board members present were Janet Koester, Madeleine White, Wednesday Foster, Sherry
Carr -Smith, Frank Gasparro, Thomas Hargrove, Jan Lorrain and Youth Advisors Priya Marella and
Tharani Muthukumar. Staff in attendance were Library Director Vicki Chiavetta, Assistant Director
Dennis Quinn and Sr. Administrative Technician Kim McGrath.
2. APPROVAL OF MINUTES FROM THE MARCH 8th REGULAR BOARD MEETING:
Janet Koester moved to approve the minutes and Frank Gasparro seconded the motion. All were
in favor and the minutes were approved.
3. CITIZEN'S APPEARANCES: None
Assistant Director Dennis Quinn introduced Johnathon Newman, the library's new marketing
intern.
4. SUMMER READING PROGRAM PRESENTATION: Jennifer Franz gave an overview of
the 2018 Summer Reading Program. The theme is Libraries Rock. The kick-off party is June 2nd and the
program ends on July 31 S`.
5. LEAGUE OF EXTRAORDINARY TEENS VIDEO PRESENTATION: Director Vicki
Chiavetta spoke about the League's presentation before showing the video to the Board.
6. LIBRARY DIRECTOR'S REPORT:
• Workload Indicators: The FYI 8/19 budget was turned into the Finance Department in
April. The Texas State Library and Archives Commission Report has been sent to the
State. Staff attended the Texas Library Association Conference in Dallas. Vicki attended
the Public Library Association Conference in Philadelphia.
• Programs: Some of the programs held in March included Mars Survival and Astronomy
Day, Open Mic Night, Tech Tutorials and Hogwarts Spring Break. The Fantastic Beasts
of Harry Potter had 200 people in attendance. The Adult Volunteer Fair which was held
on April 2nd had 75 attendees. The author visit with Shelly Brown was very successful
and had 130 parents and students. CozbyCon is scheduled for May 121h
7. POLICY REVIEW: Vicki and Dennis went over the changes to the Internet Policy. Wednesday
Foster moved to approve the changes to the policy, Jan Lorrain seconded and the motion carried.
Dennis Quinn went over the changes to the Business Center, Conference and Study Room Guidelines.
Vicki suggested one additional change. Madeleine White moved to approve the guidelines, Wednesday
Foster seconded, all were in favor and the motion carried. Dennis went over the Meeting Room
Guidelines, Madeleine White moved to approve the changes, Janet Koester seconded and the motion
carried.
8. YOUTH ADVISOR'S REPORT: Priya suggested a program or series of programs consisting of
counseling and helpful advice for incoming high school freshmen. Tharani suggested working in
conjunction with the League of Extraordinary Teens. Vicki asked about having National Honor Society
volunteers to help with this type of program. It was suggested to have one session for course planning and
one for transitioning to high school.
9. FRIENDS OF THE COPPELL LIBRARY REPORT: Adrienne Morton gave the Friends
Report. The Friends sponsored the popular Shelly Brown author event in April. The group had tables at
Earthfest and the Farmer's Market and held mini book sales at both events. They will have a table at
CozbyCon on May 12'x'. The Friends will have their annual meeting on May 21".
10. LIBRARY BOARD GOALS AND OBJECTIVES: Adrienne Morton and Vicki Chiavetta
thanked everyone who came to the City Council meeting in April to show their support for the library.
ADJOURNMENT: Chairman Adrienne Morton adjourned the meeting at 8:24 p.m.
