BM 2018-07-12 LBCOZBY LIBRARY AND COMMUNITY COMMONS LIBRARY BOARD MINUTES July 12, 2018 The Cozby Library and Community Commons Advisory Board met in regular session on Thursday, July 12, 2018 in the Conference Room of the library. 1. CALL TO ORDER: The meeting was called to order by Chairman Adrienne Morton at 7:00 p.m. Other board members present were Janet Koester, Madeleine White, Wednesday Foster, Sherry Carr -Smith, Frank Gasparro, Thomas Hargrove, Jan Lorrain and Youth Advisor Tharani Muthukumar. Staff in attendance were Library Director Vicki Chiavetta, Assistant Director Dennis Quinn and Sr. Administrative Technician Kim McGrath. 2. APPROVAL OF MINUTES FROM THE MAY 10th REGULAR BOARD MEETING: Janet Koester moved to approve the minutes and Madeleine White seconded the motion. All were in favor and the minutes were approved. 3. CITIZEN'S APPEARANCES: None 4. DIRECTOR'S REPORT: Director Vicki Chiavetta went over statistics. There was a mathematical error in the circulation stats for some of the prior months which has been corrected. A letter will be sent to the Texas State Library and Archives Commission informing them of the correction. Circulation was down for the month of June while online services saw an increase in usage. Staff is working on obtaining educational tablets for elementary age children along with a new table and chairs. They will be purchased with donation money. Programs have been well attended this summer. Splish Splash Story Time had over 700 in attendance for the month of June. The craft program and Movie Time have been well attended. The summer concert series featuring the Coppell Chorale, Opera on Tap and the Bodarks were popular. The last concert will feature The Selkie Girls. The library partnered with Dallas Sales Force for Youth for a program on cloud computing. The joint work session with the City Council and Parks and Recreation Department will be held on August 9th at 6 p.m. Some ideas on topics for discussion included a recap of the Strategic Plan, some of the goals and objectives the library has been working on, legislative items that are impacting the library and future budget requests. These include a mobile outreach vehicle and a business incubator space (FY 19/20). It was decided there would be no Library Board meeting in August. Youth Advisor Interviews are scheduled for October 8th at 6 p.m. at Town Center, Frank Gasparro, Adrienne Morton and Sherry Carr -Smith volunteered to be part of the interview panel. Library Board interviews are scheduled for October 16t'' at Town Center. Online applications will be available beginning July 23' Dennis Quinn gave a legislative update from the TLA Annual Assembly he recently attended in Austin. The federal budget should stay about the same. The Western Council of State Libraries (of which TSLAC is a member) is asking for an increase in federal grant funding to state library agencies, to the level of $1 per capita. He spoke about the TSLAC Sunset Review which evaluates state agencies to determine whether they are still needed and to make sure their funds are spent appropriately. Senator Birdwell and Ronald Steinhart are the representatives from the North Texas area. 5. POLICY REVIEW: Vicki went over the Technology Policy. Frank Gasparro moved to approve the changes, Madeleine White seconded the motion, all were in favor and the changes were approved. Vicki and Dennis went over changes to the Monetary Donation Policy. Wednesday Foster moved to approve the changes, Jan Lorrain seconded the motion, all were in favor and the changes were approved. 6. YOUTH ADVISOR'S REPORT: Tharani spoke about recent School Board changes and how they have affected students. She talked about the TILE program that she helps direct at CHS. She suggested that the library partner with various organizations to have business -oriented programs geared to middle schoolers and high school students. These would bring in CEO's from different companies to speak on topics of interest to students. 7. FRIENDS OF THE COPPELL LIBRARY REPORT: Adrienne Morton and the Friends had elected officers at their meeting on May 21 St. She talked about the Julia Haeberlein author visit. The Friends will begin having a table at the Farmer's Market again on the 1St Saturday of each month. A pumpkin painting is scheduled for the October Farmer's Market. September 20" is North Texas Giving Day and the Friends plan to have events all day at the library. Another author visit is scheduled for October 22nd. Alex London, a popular writer of adult and teen fiction will be here. The book sale is scheduled for November 161H — 18tH 8. LIBRARY BOARD GOALS AND OBJECTIVES: Frank Gasparro spoke briefly about the upcoming Cultural Committee meeting which ties in with some of the library goals and objectives.
