Owner (City of Coppell, Texas) B. Contractor ( Schmoldt Construction) C. Consultants (Kimley -Horn) D. Signed Attendance Roster (See attached sign -in sheet) II. Finalization of Contracts A. Distribution of Signed Copies of Contracts City will distribute signed contracts at meeting. (Verify) B. Written Notice to Proceed City will send a written Notice to Proceed Letter with contracts (Verify) C. Subcontractor List Contractor needs to submit a complete Sub Contractor's List within twenty (20) calendar days of receipt of signed contract. I11. Processing of Decisions A. Field Orders / Clarifications Refer to Project Manual, Division 1— Section 01020. B. Change Orders Refer to Project Manual, Division 1 — Section 01020 (No work requiring additional compensation will be performed without a fully executed Change Order) C. Communication 1. Owner to Consultant Ester Moreno will be Primary Point of Contact with City. 2. Consultant to Contractor John Fielder will be Primary Point of Contact with Consultants. 3. Contractor to Consultant/Owner will be Primary Point of Contact with Contractor. 4. Sub - Contractor to Contractor Sub Contractors shall forward all requests for information, submittals, etc. through Contractor to the Consultants IV. Payment Processing A. Schedule of Values Contractor needs to submit a schedule of values for review and approval by the Consultant (AIA Form G703) Refer to Project Manual, Division 1 - Section 01020 (Two Days from Receipt of Contract.) B. Project Meetings Refer to Project Manual, Division 1 - Section 01039 (Kimley -Horn will attend regularly scheduled monthly meetings — six total.) City will attend weekly meetings. Contractor shall hold weekly subcontractor meetings prior to regular scheduled meetings. C. Owner's Payment Procedures Discuss dates to submit payments The City processes checks monthly (Verify). Contractor to submit monthly pay applications ten days prior to due date for review by Kimley -Horn and Owner (ideally at monthly meetings.) Refer to Project Manual, Division 1— Section 1020. D. Liquidated Damages Liquidated damages will be assessed at $250 per day beyond the project completion date. V. Scheduling (Refer to Division 1 — Section 0 13 00, Item 1.4) A. Construction Schedule 1. Phasing of Work 2. Schedule Submittal Contractor to submit construction schedule for review and approval by Kimley -Horn w/n twenty (20) calendar days of receipt of contract. B. Mobilization 1. Job Shack and Staging Area Coordinate Location with City. 2. Contractor's Access to Site Refer to Project Manual. 3. Permits and Fees Contractor needs to File NOI or Construction Letter and Fees— All Other City Permit Fees are Waived (Verify.) 4. Inspections Schmoldt Construction to Coordinate City Engineering and Building Inspections with City. VI. Submittal Process A. List of Submittals Contractor to Provide List of Submittals within twenty (20) calendar days of receipt of signed contract to Kimlev -Horn for Approval — See Proiect Manual, Division 1 - Section 01300. Need all submittals within first 30 days if possible. B. Substitutions Refer to Project Manual, Division 1— Section 01630. C. Mix Designs and Test Reports See Project Manual, Division 1 - Section 01410 Owner will contract with PSI (Professional Service Industries, Inc.) for Testing Services Contractor will call for tests as required. D. Shop Drawings /Samples See Proiect Manual, Division 1 - Section 01340. Shop drawings to be submitted within thirty (30) days prior to the contractor /supplier's needed date and samples involving colors and selections to be submitted within first thirty (30) days so a color schedule and board can be Prepared. Long lead items (waterslides, pool filters and pumps, water play features, etc. should be submitted within the first (30) days. VI. Record Drawings / Project Close -out Refer to Project Manual, Division 1— Section 01700 VII. Miscellaneous A. Safety Refer to Project Manual, Division 1— Section 01500 B. Condition of Site and Staging Area Refer to Project Manual, Division 1— Section 01500 C. Existing Utilities, Existing Trees, Tree Protection Refer to Project Manual, Division 1— Section 01500 D. Clean Up Refer to Project Manual, Division 1— Section 01500 E. Topsoil Storage Area To be Approved by Owner F. Date of Next Meeting VIII. Comments /Questions /Action Items: A. If contractors need to work on Saturday, they must notify the Owner by noon on Wednesday. Saturday hours are between 9 a.m. - 4 p.m. Working on Sunday is not allowed. (Verify w/ Owner.)
