Keith,
I have reviewed your email and feel that an area was not mentioned which
accounts for 444 SY of sod. This are is the north side of Bethel Rd
between Knights Way and Denton Tap, sta 49+00 - 53+00 and I used 10 as
average width, but per grass measurement sheet average in area is 10.4.
Due to slopes and trees removed in this area a larger area had to be
disturbed and graded according to allow the grades to work from existing
wall to sidewalk and from added wall to existing wall.
It is my opinion that this area should be accounted for also and noted
we did have several meeting on site with Larry Davis and were told to
remove the additional trees because neither the sidewalk nor grades were
going to work as shown on the plans. JRJ feels that there were some
areas were needed to perform their work, but can assure you that those
additional areas were minimal. JRJ is asking that you account for the
area mentioned above and per your calculation of 3,408, accept the
additional 444 and allow this to be added to the pay application for
payment.

Dean,
I have reviewed the materials you have submitted for sod calculations.
As you know, this item was listed in the specifications as a "Plans
Quantity" item. Section 1-14 of the contract indicates in bold
underlined print "If an item is noted as a 'Plans Quantity' then only
the quantity shown in the unit bid price schedule will be paid."
These items are essentially lump sum items with an estimated quantity
provided. The city does this in order to protect ourselves from
quantity over-run when a contractor disturbs area beyond what is
required for the project.

In the case of this project, the scope of the project was changed
through the issuance of four change orders. Each of these changes
impacted the area that was disturbed, and as such could have included an
increase in sod quantity. In reviewing these changes, I propose the
following adjustment to the "Plan Quantity". If you are in agreement,
please reflect this new total on your next pay request.
Original Sod Quantity: 2,225 SY
Remove driveway on Denton Tap - (34*4.5)/9 = 17 SY
Eliminate storm connection in Denton Tap - (27*9)/9 = 27 SY
Rework Paving at Chateaus Drive = 127 SY
Install Drainage pipe & Inlets between Armstrong & Bridge - (8*120)/9 =
107 SY
Install Aerial Crossing - (15*140)/9 = 234 SY
Remove additional 24" ADS Pipe - (10*400)/9 = 445 SY
Install Inlet at Penfolds - (7*24)/9 = 19 SY
Elimination of 165 CY concrete rip-rap ((165*27)*5/12)/9 = 207 SY
Total expected disturbed area beginning with plan quantity and adding
all project changes is 3,408.
It is the opinion of the City of Coppell that any disturbed area greater
than this was disturbed for the convenience of the contractor for use in
staging of materials and equipment. The contractor bears responsibility
for the cost of reestablishing turf in these areas.
