In attendance were the following: Larry Davis City of Coppell Lee Weir Weir Bros., Inc. A1 Weir Weir Bros., Inc. Jim Street Weir Bros., Inc. Jack Crawford Brittain & Crawford Roy Grant Baker-Shiflett Tommy Thompson Baker-Shiflett Jerry Parche' Jerry Parche' Consulting Engineers 1. I provided copies of the executed construction contract to the City of Coppell and to Weir Bros., Inc. 2. I gave copies of the Notice to Proceed to Weir Bros., Inc., Baker-Shiflett, Inc., Brittain & Crawford and the City. I also provided three sets of plans to Weir Bros. and a set to Baker-Shiflett. I informed Weir Bros. that they must submit Payment and Performance Bonds to me before doing any work at the site. 3. I informed Weir Bros. that the property tenant has advised me that he will remove his cattle from the site on Monday - November 27, 1989. November 28, 1989 JP No. 88009 Page 2 of 3 4. I told Weir Bros. that some revisions have been made to the project that was bid and that the bid plans are no longer valid. No grading or clearing shall be performed within 15 feet of the north and easterly property line of the Borrow Area or within 10 feet of the east Right-of-Way line of Denton Tap Road in the fill area unless directed otherwise by the City of Coppell or the Engineer. The project should be constructed in accordance with plans given to the contractor at the meeting. These plans are similar to the plans mailed to the contractor, property owners, and the City of Coppell on November 16, 1989 and approved by the City of Coppell on November 22, 1989. 5. Larry Davis advised the contractor that Weir Bros. should notify the City in writing if the contractor intends to work on weekends or holidays. The contractor is responsible for payment of City of Coppell overtime charges for inspection services on weekends or holidays. 6. In the Fill Area, no material should be placed in the existing swale which generally flows in a southeast direction south of the Coppell City Hall. This swale should be undisturbed, in accordance with construction plans. 7. The construction start date is November 28, 1989. The contract time is 30 calendar days. Construction completion should occur no later than December 27, 1989, to be in compliance with the contract. 8. All fill shall be placed in accordance with the contract and tested. It is the contractor's responsibility to inform the soils engineer when fill operations will be underway so that density tests can be performed. 9. Brittain & Crawford will stake limits of the borrow and fill areas and provide vertical control to the contractors' surveyors. Weir Bros. shall inform Jerry Parche' Consulting Engineers when final grade is achieved in the borrow area so that we may notify Brittain & Crawford to proceed with verification of the excavated grades. A copy of this letter is provided to each of the firms in attendance at the meeting and the City of Coppell.
