Re: Moore Road Improvements
Dear Mr. Miller:
A meeting was held on January 29, 1986, as a result of recent
issues that have developed on the above referenced project.
Mr. Dan Mills, General Superintendent, George Miller, Randy
Fleming, and Kevin Peiffer attended this meeting. This
letter is documentation as to what was discussed and agreed
upon at that meeting.
The major issues were:
1. Poor response to repairing existing water service cut
during construction.
2. Sheepsfoot roller blatantly using existing pavement, thus
causing rapid deterioration to the present riding surface.
3. Inspector's job trailer being used by prime and
subcontractors.
4. General Superintendent not on site at all times during
construction.
5. Communication between subcontractors and Ginn, Inc.
6. Provide emergency phone numbers.
Ginn, Inc.'s position and the agreements reached at this
meeting on these issues are summarized as follows:
Items (1) and (4): Both are basically related to the fact
that Ashlar did not have a General Superintendent on the job.

Contract Specifications and will be complied to. In the
future, no work shall be performed by the prime or
subcontractors unless the General Superintendent is present
on the site. This will resolve incidences in the future like
that which occurred on Item (1).

Item (2)= We do not want to see this incident occur again.
Use the construction equipment for the purpose it is intended
f~ It is Ashlar's responsibility to maintain two
lanes of pavement at all times during construction.
Therefore, after construction of the temporary asphalt
detours, please patch all holes in the existing pavement with
asphalt that are west of the existing Moore Road centerline.
Item (3): Prime and subcontractors have no business using
the inspector's job trailer. Please furnish a separate job
trailer for your own personnel. This item was set up in the
contract as such and payment can only be made for it if the
contract is complied with. Also, provide new lock and key on
inspector's trailer.
Item (5): All communication must come through Ashlar.
Please tell all suppliers, subcontractors, etc., to follow
that procedure.
Item (6): The following emergency phone numbers have been
provided and will be distributed to the Coppell City Manager,
City Engineer, and Police and Fire Chiefs.

Mr. Miller, please realize that we felt we had a constructive
meeting and were pleased with Ashlar's attitude toward
responding immediately on these issues. As the project
progresses, we feel that the communication and cooperation of
all parties involved will continue to improve, thus providing
everyone with a project that we all can be proud of.
