Subject: W. SANDY LAKE ROAD - SCHEMATIC DESIGN
Since we have not been able to schedule a time to meet with you, we have
decided to continue on with the completion of the schematic design and make
a formal submittal of these plans, for your review and comment, by the end
of this month. As part of that submittal, we will provide you with a
schematic design report that will include an opinion of probable costs based
upon the current design and an outline of the issues which may need further
discussion and consideration. The submittal will also include roadway
cross-sections, an indication of where retaining walls may be needed, a
preliminary summary of probable right-of-way takings and a preliminary
drainage design. Newman Jackson Bieberstein is completing a schematic
design for the landscape and trail improvements, which will also be included
with this submittal. Our coordination with utilities has continued and we
will include information about that in our schematic design report, as well.
We have also been coordinating the schematic alignment for VV. Sandy Lake
Road with the design schematic that is being prepared for SH 121. It is our
understanding that the latest design schematic for SH 121, which is being
prepared by HDR, Inc., is being revised to reflect a rotation of the VV.
Sandy Lake Road intersection to the south in order to better facilitate the
proposed alignment of the City's improvements for VV. Sandy Lake Road.
We are prepared to proceed with the completion of the preliminary design
phase, at your direction, as soon as you are ready for us to do so.
However, we understand that the City will want time to review the schematic
plans and may possibly want to present the schematic design to the public
for comment and feedback before authorizing the continuation of our design
work. Any information that you could provide on what steps will be taken in
the review and approval process for the schematic plans and a timeline for
that process would be very helpful to us, as we schedule work for our design
teams for the remainder of the year and the first of next year. (I would
prefer to keep the Sandy Lake Road design team working on Sandy Lake Road,
but could shift them to another project temporarily until you are ready for
us to proceed with the preliminary plans, if necessary).
Once we make the submittal to you later this month and you have a chance to
look it over, we would like to meet with you to get your initial comments.
Hopefully, we can schedule that meeting at your convenience sometime in
December, although I know that December is usually a busy time of the year.
As you know, our original project schedule had more than ample time for
various phases of the design to slide, particularly these early phases
(schematic and preliminary). And in reality, we are probably somewhat
beyond the schematic phase already in some areas of the design; so our
ability to complete the project within our original timeline is not a
concern to me at this point. However, it probably would be very important
for us to re-visit the City's needs and anticipated schedule for completion
of the project when we get together.
Thanks again for the opportunity to work with you and the City on this
project. We look forward to presenting the schematic plans to you later
