Dear Brad,
As we've discussed from the start of construction, this project is requiring much more time for
Construction Phase services than originally anticipated or budgeted. We continue to respond
to numerous Contractor questions, as well as provide site observation, job progress reports,
submittal reviews, attendance at bi-weekly project meetings and frequent coordination with the
Contractor and various City Departments.
To date, construction is only 30% complete, and as of December 31, 2001 we have expended
$14,957.50 of the $15,000.00 allocated for this phase of our contract. Therefore, in order for us
to continue providing construction observation, we respectfully request the City increase the
$15,000.00 limit allocated for construction phase services.
If current cost and percentage of construction is projected to the end of the project, we
est[mate that an additional $35,000.00 will be required to complete the project. However, we
anticipate that our inv~cement may be reduced as construction progresses beyond the
submittal and ~eaK~c~nstru~tion phases. Therefore, we propose that our contract be increased
an additional~'$25,000.00. ~V{/e understand this amount is within the City Manager's approval
authority andWDuld not r.e~:luire City Council approval, allowing us to proceed with construction
observation, as w~l[~§ t~e opportunity to re-evaluate the need for additional funding based on
the progress of construction.
Based on the fact that the hours we have expended for the month of January are already in
excess of the $15,000.00 limit, immediate reso ut on of this issue is appreciated. Please ~et us
know if this is acceptable, so we can continue to support this project,
