DR9202-CS 920106!O: Alan D. Ratliff, City Manager ViA: Kenneth X. Griffin, P.E., City E~n~~N~GE FROM: M. Shohre Daneshmand, P.E., Civil Engineer SUB3ECI: Brooks Lane/Hunterwood Subdivision Easements for Diversions DATE: January 6, 1992 Attached please find two original proposals from Albert H. Halff Associates Engineering Services to prepare easement documentation for the above referenced diversions. On November 12, 1991 the City Council approved four (4) drainage projects, which included partial design and construction of storm system on "Brooks Lane Inlets Only". The City Council directed staff to also proceed with easement document preparation and acquisition for the proposed drainage system prior to council's approval of the entire project of Stage I. Please note that this service was not included in the original proposal and the proposed fee of $4,500 for the easements will apply toward the final design of "Brooks Lane Stage i and Stage II". On 3anuary 6, 1992, Ken Griffin contacted Jean Hansen with Albert Halff to request additional clarification on the fee. Ms. Hansen provided the following information: Survey - This includes a days worth of surveying to tie down all improvements, i.e. fences, storage buildings, houses, landscaping, etc., so that the system can be designed around these improvements: Preliminary Desiqn - This includes a preliminary plan and profile of the selected path of the drainage improvements: Easement Documentation - This includes preparation of the easements and property owner contact and coordination. Ihey will obtain the easements unless it turns into a "Kaye Street" situation. Ms. Hansen also indicated that the fee is a "not to exceed fee" and that when final construction plans are prepared, their fee can be adjusted downward to compensate for the fact that the field survey information has already been obtained and that there is already a preliminary plan and profile design. Staff recommends approval of said proposal, and that the services be funded under the 1990 drainage bond funds. Please let us know if you have any questions.
