All correspondence and other communications shall be addressed to the Project Landscape Architect, with copies
to the Project Engineer, and the Owner's Project Manager.
All copies of the correspondence and other communications for the project shall bear the project name: Coppell
Town Center Plaza.
Construction Administration/Observation for this project will be the responsibility of the Project Landscape
Architect, Project Architect and the Project Engineer.

8. Contractor shall provide a "Schedule of Values" covering the principal items of work under the contract consisting
of labor, materials, other costs (if any) and a total for each item. This breakdown, when approved is to be used in
preparing the Application and Certification for Payment Estimates. Furnish this information on AIA form G703.
9. The procedure for Contractor Payment Applications will be as follows:
Pay periods will be once per month, and will go through the 15'h of each month. Contractor will submit the
Application for Payment to the Landscape Architect by the 25"' of the month for which payment is requested.
Retainage will be 10% of the amount certified for payment.
-t' Five (5) copies of the pa~sti~inate vouchers are to be submitted on AIA documents G702 and G703 to the Project
Landscape Architect for review and approval then forwarded to the Owner for processing.
10. The procedure for Change Orders will be as follows:
The Project Landscape Architect shall request from the contractor a written proposal for the scope of any additional
work, or change in the scope of work, to include justification of the changes, cost and time extensions, if required.
Prior to preparing any Change Order, the Project Landscape Architect must have written approval fro_. the Owner.
The Project Landscape Architect shall prepare (5) five copies of all Change Orders, attach all documentation, ensure
proper signatures are affixed and forward the Change Order to the Owner for further processing. No change in the
work shall be undertaken until the Change Order has been fully executed.
] 1. The contractor shall submit a minimum of six (6) copies of each shop drawing to the Project Landscape Architect
for approval. Contractor must sign and approve all submittals from subcontractors and suppliers.
Contractor shall keep one (1) copy of all approved shop drawings on the job site at all times.
12. A construction schedule shall be provided by the contractor to the Project Landscape Architect prior to the
commencement of work and shall be posted at the job site. The schedule shall be updated as required by the
General Conditions. Time is of the essence for completing the project. Contractor to identify critical path elements
in the Construction Schedule.

Time extensions for weather days: The Contractor is required to submit data from the closest National Weather
Bureau to the site. Additional weather days will be considered as outlined in the General Conditions, included in the
specification.
13. The Owner's hours of operation are 8:00 am to 5:00 pm. Monday through Friday.
14. Work hours for this project shall be 7:00 am to 5:00 pm. Monday through Friday, unless approved otherwise.
After hours work and Inspection charges
15. Liquidated damages will be calculated at Two Hundred Fifty Dollars ($250) per calendar day for each day
substantial completion is not reached past the Contract Period.
16. -~j Project Incentive for early completion is Two Hundred Fifty Dollars ($250) per calendar day for each day that
substantial completion of the project is reached prior to the end of the Contract Period.
17. Materials purchased for this project are exempt from the payment of sales tax. The Owner will supply the contractor
with a Texas Sales and Use Tax Exemption Certificate for the purchase of items to be used on this project.

18. Job Site Records: The Contractor must keep on site at all times, plans, specifications, shop drawings, posting of
emergency telephone numbers, and other items as required by the Contract Documents.
19. Notify Utility companies of any temporary shutdown for connections to their services and give seven (7) calendar
days notice of any change in schedule. Coordinate with the Owner any utility shutdowns and give ample notice of
shutdowns.

22. Existing Utilities shall be identified and marked by the contractor. The fiber optics line shown on the drawings is
especially sensitive -hand digging to expose this line will be necessary during excavation.
23. Temporary utility connections, office and telephone to be per specifications, Section 01500 -Construction
Facilities and Temporary Controls.
24. Storage and delivery of materials and equipment:
a. Contractor shall have personnel on hand to accept delivery of all materials to the job site.
b. The Owner will not be responsible for accepting delivery of the contractor's materials.
c. It is the responsibility of the contractor to adequately protect any materials stored outside the building from
the elements and vandalism.
d. Storage of materials on site shall be at the direction of the Owner.
25. There is a need for cooperation and for working in harmony with other contractors in the area.
26. Progress meetings shall be held on Day and Time and will be held at Location. '~(/8~ N(OY1~~ tdle0~ H
Minutes for the progress meetings shall be recorded by the Project Landscape Architect and a typed copy sent to all
in attendance plus the additional persons identified in item 5 above.
27. Required Code inspections necessary
It is the responsibility of the Contractor to coordinate with the Owner's inspectors to schedule required code
inspections. The Owner's Project Manager and the Project Landscape Architect are to be informed of all scheduled
required code inspections.
Code inspections (if component is included in the project) are required to be performed prior to covering work.
These inspections include but are not limited to:
1. Footings and Foundations
2. Underfloor/[lnderslab
3. MEP Underground (not associated with underfloor/underslab)
4. Framing
5. In-Wall
6. Pressure testing of all piping
7. Final Inspections
The required code inspections shall be coordinated with the Owner's inspector via individual telephones. Telephone
contact is to be a minimum of 3 work days prior to anticipated inspection. Inspection confirmation may occur via e-
mail after telephone coordination. Failure to coordinate a scheduled inspection with a minimum of 3 work days may
result in no inspection and subsequent denial of a continuation of work.
An Inspection Record will be issued by Owner's inspectors for each required inspection. The Inspection Record
will indicate when the inspection is approved. If a deficiency is noted, it will be the responsibility of the contractor
to coordinate solution of the deficiency with the architect/engineer and to correct all noted deficiencies as directed
by the architect/engineer. ]ssuance of the Certificate of Completion is dependant on resolution of all deficiencies.

(Please note: The inspector, noted in Item 1 above, is to be notified of each required inspection. The inspector, at
his discretion, may defer this inspection. The inspector will inform the contractor and Owner's representative
regarding who will be performing the inspection.)
28. [nspection reports shall be written by the Project Landscape Architect or Engineer for each inspection visit.
Copies shall be distributed to the Owner's contact person.
_,j 29. Materials Testing: The owner will contract with a materials testing company. Initial tests will be paid for by the
77 owner, with retesting due to failure being billed to the contractor. It is the responsibility of the contractor to
schedule all tests directly through the testing company. The Owner's testing company for the project is: Alpha

30. Video taping or photographs are good ideas for a permanent record. Repair of damage that occurs during the course
of work will be repaired by the contractor at no additional cost to the Owner
31. Safety/Security Requirements: The Contractor is responsible to maintain a safe site that is not accessible to the
general public. Work areas shall be fenced to discourage unauthorized entry.
