On September 27, 1993. bids were receiv~ and open~ ~br ~e Moore Road Drainage Improvement Project.
City r~eiv~ seven bids lbr ~is project. A copy of ~e bre~down for ~e bid proposes is includ~ for your
information. ~e bids range from a Iow bid of $271,301.50 by J.C. Main Construction to a high bid of
$~7,932.~ by Austin Bridge and Road. ~e fin~ engineers estimate for ~e project was $273,025.~. As you
are well aware. ~e City has been working for quite sometime wi~ yourself and ~e prospective purch~er of
prope~y know ~s Austin Place Subdivision. Mr. G~rge Gibson, m finalize a Drainage and Escrow Agr~ment.
It is my understanding that the agreement has been agre~ m in concept, however, ~ of yet ~e City h~ not
receiv~ a sign~ copy. By ~e terms of ~e agreemem, it is ~e City's obligation to noti~' you in writing of
tot~ esfimat~ cost. It is your obligation, at le~t seven days prior to ~e awed of~e contract, to pay your proram
pomion of ~e project cost. Your prorata potion is ~e tutal estimat~ project ~st minus $130.~.~.
It is ~e City's intention to award ~is project to ~e low bidder. LC.Main Construction on October 26, 1993 in
amount S271,301.50. ~is total amount includes two bid items for ~e s~e work (Bid Item's 21 & 22). B~ause
· e City is unsure whe~er or not ~e water lines will be enc~ or lowerS, a bid for each option w~ include.
Using ~e most consen'ative option, ~e to~ cost should not exce~ $268,151.50 ($271,301.50 -
for Bid Item 22). ~erel~re, monies in ~e mourn of $138,151.50 should be deposit~ with ~e City no later
5:ffi p.m.. Tuesday, October 19, 1993. Also, ~e contract should be sign~ on or betbre that date. If~e contract
h~ not been execut~ and ~e monies have not been de~sit~ wi~ ~e City by ~at date, ~en ~e next available
City Council m~ting m award ~is contract would be November 9, 1993 and all items would ne~ to be t~en c~e
of prior to 5:~ p.m.. November 2. 1993.
Obviously, it is our intent m award ~is comract ~ soon ~ possible. So if at ~1 possible, ~1 items should be
complet~ prior to 5:~ p.m.. October 19, 1993. ~is would cr~te a more exp~ient process for ~ ~is proj~t
